Our real estate client owns and operates a variety of apartment communities to suit every lifestyle. With properties in both the US and Canada, they are now seeking a new Finance Administrator for their corporate office in Bergen County, NJ.

Job Summary:
The Finance Administrator is responsible for ensuring the accuracy and compliance of financial records, supporting payroll processes, conducting audits, and providing comprehensive financial support to various departments within the organization.

Essential Job Functions:
Review and verify internal accounting records to ensure compliance with established procedures and policies. Regularly audit these records to detect and correct any discrepancies. Perform thorough audits of property financial records, including accounts payable and receivables, to ensure accuracy and compliance. Conduct bi-weekly audits of payroll to ensure accuracy and compliance with company policies. Verify all payroll calculations and payments. Ensure that all financial transactions are accurately recorded in the General Ledger. Support the proper coding of financial transactions and assist with posting entries to the General Ledger. Monitor and audit the use of eviction credit cards to ensure compliance with company policies. Address any misuse or discrepancies. Handle the processing of invoices and payments to vendors, as well as the receipt of payments from clients. Ensure all transactions are accurately recorded. Keep detailed records of corporate mileage logs and ensure the 1099 vendor listings are up to date for tax reporting purposes. Act as a backup for payroll processing, ensuring all timecards are accurately audited and processed in a timely manner. Support the management of the company's loan portfolio, including the timely payment of loans to lenders. Assist employees with the use of the Kronos Time and Attendance software, ensuring accurate tracking and reporting of work hours. Keep detailed and accurate records of all mortgage documents and ensure they are up to date. Utilize MRI property management software for tasks related to accounts receivable, financial reporting, and auditing. Support the Controller with various filings and financial reporting requirements. Provide financial support to the property administration team, including handling accounts payable for specific properties. Prepare and file year-end 1099 forms for all applicable vendors to ensure compliance with tax regulations. Reconcile bank and credit card statements to ensure all transactions are accurately recorded and discrepancies are resolved. Manage accounts payable processes for international business accounts, ensuring accurate and timely payments. Monitor and analyze financial data to identify trends, discrepancies, and areas for improvement. Establish, implement, and maintain effective internal controls and financial policies to ensure compliance with regulatory standards and best practices.

Requirements:
Bachelor’s Degree (Business Administration preferred). 2+ years in customer service, real estate, payroll, or banking (preferred). Knowledge of accounting principles (Chart of Accounts, Debit/Credit). Strong communication and organizational skills. Effective time and task management skills. Ability to work independently and collaboratively. Strong problem-solving skills. Team player.
