Property Management Administrative Assistant (CN)

Primary responsibility is to provide administrative and operational support to the Construction and Maintenance department for the construction, maintenance and operation of commercial properties. The person in this position reports to the Director of Construction and Maintenance.



Responsibilities:

Answer all incoming phone calls and distribute to appropriate personnel within management office and/or dispatch personnel based on immediate need. Handle all incoming mail and distribute accordingly. Compose and process correspondence with tenants, contractors and other third parties for property management and construction staff. Create and maintain organized paper and electronic filing systems for the construction and maintenance department. Maintain maintenance calendar and assist with the scheduling of contractor service work and coordinate with property management staff and tenants. Assist with the follow up of service work to ensure satisfactory completion. Create and maintain spreadsheets containing information for maintenance and construction. Assist with the preparation and processing of maintenance contracts. Assist with preparing and processing permit applications for construction work. Maintain office supplies inventory. Fulfill additional duties as assigned.



Requirements:

College degree preferred. Minimum 5 years administrative assistant experience. Prior experience with a real estate management company is a plus. Excellent people skills. Ability to listen, think clearly and communicate effectively and courteously. Ability to articulate and compose professional correspondence including attention to grammar and spelling. Ability to work independently and as part of a team. Ability to determine needs and achieve results without close supervision. Ability to organize, prioritize and work efficiently. Detail oriented. Proficiency with the computer including MS Office (Word, Excel and Outlook). Consistent professional appearance, demeanor and attitude.
