Provides a wide variety of administrative and coordination activities for the Senior Leadership Team on a daily basis. Effectively develops and disseminates communications throughout company to executive management team, division leaders and other personnel on behalf of Executive. Successfully manages the administrative aspects of projects including but not limited to management meetings, business reviews, budget reviews, and presentations as well as performs follow-up work to check the status of projects assigned by Executive. Monitors operational performance by analyzing key performance indicators/scorecard results. Gathers information from general managers to track data against targets providing executive summary report to the Executive. Report includes action plan to set performance back on track. Investigates, gathers and analyzes information as requested by Executive and Senior Leadership Team. Performs purchasing and requisitioning for dept. including PeopleSoft navigation with an eye towards budget limitations and smooth flow of requisition and expense approvals and paperwork for Executive. Responsible for receiving, screening and distributing all incoming communications and visitors. Coordinates the Executive’s activities, such as arranging appointments, meetings, and business trips. Maintains calendar, interfaces with travel agencies, and arranges for luncheons and other functions. Ensures the executive is aware of appointments and meetings scheduled, and advises of upcoming deadlines. Coordinates audio conferences, web conferences with presentations and video conferences for Executive. Meeting Planner - Negotiate hotel and restaurant contracts, schedule catering, coordinate audio-visual needs, and supervise reproduction/dissemination of materials as well as travel planning for attendees. Prepares all outgoing correspondence independently. Reviews and evaluates technology equipment in office and makes recommendations to procurement on administrative needs.
